Job Description:

Administrative and Marketing Coordinator is an individual contributor that supports the Picerne Residential Executive team in planning, organizing, and prioritizing all aspects of the business. Reporting directly to the President, the Administration/Marketing Coordinator serves as a company ambassador in this elite, fast-growing property group.
The Administrative and Marketing Coordinator, as with all members of Picerne Residential, is expected to conduct himself/herself in a manner, which demonstrates initiative, professionalism, personal awareness, integrity, and exercises confidentiality in the appropriate areas of his/her performance.
Responsibilities: Administration:

  • Provide support and coordination on projects, with the ability to quickly re-prioritize in order to meet deadlines
  • Manage annual update of legal forms and documents
  • Coordinate and schedule meetings & events for Executive team, including managing event logistics as needed
  • Support the Executive team with functions including travel arrangements, expense reconciliation as needed
  • Responsible for distribution & compilation of various reports and financial data to the Executive team
  • Manage vendor contracts and compliance documents
  • Facilitate document processing which may include check requests and contracts
  • Process invoices for office expenditures
  • Prepare presentations, emails, memos and other written communications as needed
  • Administer, organize and maintain project files, both electronically and in hard copy
  • Attend project meetings and prepare meeting minutes as assigned
    • Deliver optimum customer service by handling and routing escalated customer phone calls and emails
    • Assist the Marketing team with social media content management
    • Support Reputation Management strategy, including monitoring review sites, responding to reviews, and working with teams to improve engagement and reputation scores
    • Assist Customer Experience Manager in planning and execution of on-site resident events
    • Monitor membership accounts with industry organizations and coordinate sponsorship events
    • Audit web properties and make necessary content updates
    • Assist in the creation of digital and print promotional material for email marketing, social media, posters, flyers, etc.
    • Assist in creating and executing email marketing campaigns
    • Perform competitor research and report out on general market trends
      • Collaborate with other corporate administrative and management team to create a positive work environment, including executing monthly/quarterly recognition lunches and meetings, seasonal and holiday events.
      • Perform other related duties as assigned
        • 2+ years of experience in administrative support preferred
        • Bachelor's degree preferred
        • Ability to work proactively and autonomously on a daily basis
        • Detail-oriented, organized and capable of managing tasks on multiple, concurrent projects
        • Excellent verbal and written communication skills
        • Well-developed interpersonal skills with the ability to establish highly functional relationships with diverse personalities both within and outside the company
        • Proficiency in Microsoft Office applications, including Outlook, Word, Excel and PowerPoint
        • Experience with Canva, Photoshop, InDesign or a similar graphic design software is a plus but not required
        • High level of personal flexibility and willingness to pitch in where needed
        • Strong customer service and time management skills
        • High degree of professionalism and discretion dealing with confidential information
        • Is a problem solver, takes initiative, and demonstrates a sense of urgency to complete priority tasks
