Job DescriptionOpportunityRSI Holding LLC is currently
conducting a search for a Receptionist/Office Administrator for our
Newport Beach, CA office.This position is responsible for providing
day to day organization and administrative support to ensure
efficient operation of our office.Responsibilities:
- Answer incoming calls and welcome guests in a professional
manner
- Responsible for incoming and outgoing mail and deliveries,
sorting and distributing mail
- Responsible for general office administration including
maintaining the kitchen, conference rooms and all common areas
- Facilitate onsite meetings and meals, including conference room
scheduling and setup/take down
- Liaison with building management for all maintenance requests,
large deliveries, etc.
- Manage floor security and parking access (transponders, fobs,
door codes, keys)
- Effectively order and manage all office supply inventories
- Maintain office equipment (copiers, phones, printers, mail
meters, televisions, etc.)
- Maintain vendor contracts and reconcile/approve vendor
invoices
- Provide administrative assistance as needed to staff
- Work collaboratively with IT in ordering computers,
accessories, and supplies as well as assist with troubleshooting
technology related issues
- Coordinate onsite and remote safety, compliance and other
training for office, including AED and CPR Certification
- Offsite errands as needed
- Other duties as required by business needsRequired
Qualifications:
- Minimum of three years of experience in a similar role
- Minimum Associates Degree or equivalent
- Must possess excellent interpersonal and written and verbal
communication skills
- Strong time management, organizational and problem solving
skills
- Must be a self-starter capable of anticipating needs and taking
on and prioritizing multiple tasks with little direction or
supervision
- Attention to detail and follow-through
- Ability to contribute positively as part of a team
- Proficient in Microsoft applications including Word, Excel, and
Outlook
- Ability to be flexible to adapt and act quickly when urgent
matters require it
- Ability to exercise discretion and maintain strict
confidentiality
- High level of professionalism and positive attitude
- Comfortable working in a fast-paced environment with short
deadlines, interruptions, and multiple tasks
